I'd say as soon as you can. They go by first come first serve. I suggest going in to make the appt. If you have all the paperwork in order and with you, they may even see you during that time or day. I'm not guaranteeing the process but this is what they told me.
You'll have to go in to let the staff know so they'll replace them.
